Seeking help with on-going benefits enrollment process for new hires with field employees and a limited HR staff

Hello -

I'm looking for feedback on how other companies with field employees handle on-going benefit enrollment with new hires.

Do any of you utilize an online vendor or other electronic process for eliminating paperwork for benefit enrollment like medical, dental, vision, life and disability insurance?

We have over 300 employees at 5 different sites and only 2 HR personnel. The education & enrollment of benefits is so important and I don't think we are doing the best job. We have multiple locations where an Operations Manager or other associate handles new hire and benefits enrollment paperwork because we have no HR person on site and I feel a lot is lost in translation. These are field sites where employees do not often come into the office, so we try to collect everything we need from them on day 1 - and it's often quite overwhelming.

    If you are a ADP or Paycor Client, I would recommend Bernie Portal from Bernard Health.  It fully integrates with payroll and enrollment can be completed on any mobile device. 

    A lot of our larger clients enjoy HR Connection.  We are able to upload Open Enrollment Videos and provides each company with complete online portal access. 

    You may also want to check with your current carriers, they offer solutions, but is contingent on you being with them for some line of coverage.

  • I am a 2 person department with mulit-state employees.  We use an HRIS system tied to our payroll system to gather the information.  We also, send an templated benefit overview and all paln SPD's in an e-mail to the employee after our 1st payroll and set up a phone meeting to review the benefits and answer any questions, it is no longer then a 30 minute meeting.  All staff are enrolled with in 30 days.

    Our benefits start 1st of the month after 30 days.
