Position Title: Human Resources Assistant

Position Summary:

The Human Resources Assistant will provide administrative support to the Director of Human Resources and will work as a team member with other staff as directed. 

Responsibilities include assisting with the hiring process, maintaining employee records, tracking of training and development initiatives, etc.  Helping to maintain and enhance the firm culture of service, collaboration and integrity. 

Duties and Responsibilities:

Provide benefits administration for medical and dental plans and other benefits; troubleshoot employee benefit inquiries and follow up with service providers as needed

Recruiting: Responsible for updating job descriptions, posting open positions on job boards, universities, etc., applicant tracking, scheduling interviews, coordinating background checks

Maintain employee information via HRIS system and/or other databases; including but not limited to vacation and absentee records, performance review tracking, training and development, benefits, etc.

Processes change requests for the company 401(k) and profit sharing plans 

Provides support to the firm’s Wellness Team initiatives

Responsible for maintaining and updating the firm’s handbook, policies and procedures (including FMLA leave)

Maintain travel discount information for the firm; research and implement discount programs

Coordinate and deliver portions of the firm orientation process for new employees

Manage blood drive, flu shot initiative, United Way campaign, ArtsWave, etc.  Participate in the firm’s Corporate Citizenship efforts

Must be able to handle confidential and sensitive material including employee personnel files

Work closely with the payroll administrator on updates and changes

Submit employee data reports by assembling, preparing and analyzing data including annual EEO-1 reporting

Provide administrative support to the Director of Human Resources

Stays current and knowledgeable about technical and educational changes as it relates to Human Resources

Prepare materials, including PowerPoint presentations for all-company meetings

Provide back up support for the receptionist when necessary

Any other related duties as assigned 

Minimum Qualifications:

Four year degree is preferable (HR related field a plus)

Minimum of 3-5 years administrative experience

Service minded, positive and professional

SHRM-CP, PHR or working toward HR Certification is a plus

Highly organized, excellent follow-up skills and excellent attention to detail

Ability to handle multiple projects

Aptitude for working with numbers and data

Intermediate Word, Excel and PowerPoint skills required

Proficient in database management and ability to learn new software and/or skills

Excellent communication skills, both written and oral
