Position Summary:  

The Benefits & Payroll Coordinator administers the day-to-day activities related to the administration of all employee benefit programs, payroll, and HRIS. The Benefits & Payroll Coordinator performs a full range of HR duties and responsibilities with minimal supervision and instruction at a high degree of confidentiality.

Essential Duties and Responsibilities:

  • Manages the day-to-day activities related to the administration of employee benefit programs, including retirement programs, medical, dental, vision and prescription programs, group term life insurance, EAP, COBRA, HIPPA, IRS (Section 125), Health Savings Account and Flexible Spending Accounts.
  • Researches all applicable state and federal laws and regulations as related to benefits and ensures company programs remain in compliance. Assists with compliance related activities.
  • Oversees changes to employee benefits, including life events, new hire enrollments and employment terminations.
  • Provides support to employees and HRBP’s by answering questions, assisting with claims, and resolving issues with regards to the benefits programs.
  • Processes and administers leave-of-absence requests and disability paperwork and system updates: medical, personal, disability and FMLA, COVID leave, including status changes. Ensures all data is accurate across systems. Audits leave data. Communicates all relevant information to the necessary parties.
  • Ensures the accuracy of all employee data and benefits enrollments in the HRIS to provide vendors and payroll with accurate information. Verifies accuracy of all data within HRIS and compiles reports from system as needed or requested.
  • Audits of insurance invoices to ensure accuracy in payments and in payroll contributions and deductions. Provides necessary reports for allocation/billing charges.
  • Performs frequent audits of insurance invoices to ensure accuracy in payments and in payroll contributions and deductions. Provides necessary reports for allocation/billing charges.
  • Oversees COBRA administration, FSA administration, HSA administration, and wellness incentives.
  • Audits benefits-related data and identifies errors for correction in benefits and payroll. Provides necessary parties with data needed to make corrections.
  • Responds to 401(k) inquiries from managers and employees relating to enrollments, plan changes and contribution amounts. Audits 401(k) and nonqualified plan deferrals and contributions.
  • Assists with the open enrollment process including scheduling meetings, communications, analysis, and enrollment.
  • Participates in the development of wellness initiatives and activities.
  • Assists with calculations, compilation of data, and submission of accurate information and adjustments to payroll and HR. Audits various pay components to ensure its accuracy.
  • Prepare manual upload files used in HRIS and verifies data after upload.
  • Assists with detection and resolution of routine and complex payroll anomalies and HRIS.
  • Provides support to payroll. Supports HR with special payroll projects.
  • Supports end of year and beginning of year activities.
  • Assists in administration, data collection, and auditing of various compensation activities including merit, total rewards statements, and benchmarking.
  • Undertakes and manages projects and new initiatives as directed by the Compensation and Benefits Director to support the achievement of the HR strategy.

 

Qualifications/Experience:

  • A bachelor's degree in Business Administration or Human Resources is preferred.
  • A minimum of three years of payroll/benefits administration experience is required.
  • Broad knowledge of HR regulations, laws, and policies.
  • Strong Microsoft Office skills, specifically Microsoft Excel, required.
